Who we are

Tidy Books is a trading name of Viaclin Limited, registered in Ireland, company number 820040, with its registered office at Fenero, Block D, Tyrrelstown Plaza, Dublin 15, D15 K4PY. We are the data controller for the information described here. Contact us at hello@tidybooks.ie.

What we collect

Your name, business name, email address, phone number and address.
The financial records you send us: receipts, invoices, bank statements and similar documents.
Photo ID and proof of address, which anti-money laundering law requires us to check.
If we run your payroll: your employees' names, PPS numbers, pay and tax details.

Why we use it

To provide the bookkeeping, VAT, payroll and other services you sign up for (our contract with you).
To meet our legal duties, including tax law and the Criminal Justice (Money Laundering and Terrorist Financing) Act 2010.
To answer your enquiries before you become a client.

Where it is kept

Your documents are read and stored on our own computers in Ireland. We do not send your records to outside AI services. Email passes through our email provider, and encrypted backups are kept with a storage provider in the European Union. Both act on our instructions under data processing agreements.

Who we share it with

We share your information with Revenue and the Companies Registration Office when we file returns for you, and with anyone else you ask us to, such as your accountant. We never sell your information or use it for advertising.

How long we keep it

We keep your financial records for six years after the end of the tax year they relate to, as tax law requires, and identity records for five years after you stop being a client, as anti-money laundering law requires. Enquiries that do not lead to work are deleted after twelve months.

Your rights

You can ask for a copy of your information, ask us to correct it, ask us to delete it where the law allows, or object to how we use it. Email us and we will respond within one month, as the law requires. If you are unhappy with how we handle your information, you can complain to the Data Protection Commission at dataprotection.ie.
